Synchronizing your targets in PhishGrid ensures that user information is up-to-date and reflective of any recent changes. Synchronization also updates the old user information as well as add new users present in file and not as targets in PhishGrid.
Before Synchronization:
- Ensure that your CSV file is formatted according to PhishGrid’s standards and contains the most current data you want to synchronize.
- Review the import fields and ensure all required fields (Email, First Name, Last Name) and any additional fields you want to update are correctly filled out.
- Verify that the email addresses in the CSV file correspond to the targets already existing in PhishGrid to ensure proper synchronization.
Steps to synchronize targets:
Step 1: Access the ‘Targets’ Dashboard
Log into your PhishGrid account.
Go to the ‘Targets’ section, where you manage the individuals included in your phishing simulations.
Step 2: Initiate the Synchronization Process
Click on ‘Sync Targets’ just like you would when importing new users.
You will be updating existing user’s information as well as adding new users (present in file, but not in PhishGrid)
Step 3: Upload the Updated CSV File
Upload the CSV file that contains the updated information for your targets. This file should follow the same format used when initially importing users.
Step 4: Click on sync targets
Uploaded XLSX file will update information of existing users and add new users present in file.
Best Practices:
Regular Updates: Schedule regular synchronization to keep target data current, especially if there are frequent changes in your organization’s personnel.
Data Integrity: Consistently use the same CSV format to maintain data integrity. Avoid making unnecessary changes to the CSV structure.
Backup: Keep a backup of the pre-synchronization data to prevent data loss or to revert changes if needed.
